Homecoming Retreat Terms & Conditions
(Required Acceptance Before Registration)
These Terms & Conditions (“Agreement”) govern participation in the Homecoming Retreat (“Retreat”) hosted April 10–12, 2026 at the Pomeroy Kananaskis Mountain Lodge, Alberta.
By completing registration, you (“Participant”) acknowledge that you have read, understood, and agree to the following:
1. Hosts & Facilitators
The Retreat is hosted by:
Flow Functional Healthcare, and
Botsford Natural Health Care Inc.
The primary retreat facilitator is Dr. Briana Botsford, ND, supported by independent contractors including yoga instructors, hotel staff, and spa staff.
No contractor or third-party service provider is an employee, agent, or representative of the Hosts.
2. Nature of the Retreat
This is a wellness, educational, and experiential retreat.
It does not include medical treatment, diagnosis, individualized health planning, or clinical services.
Participation does not create a doctor–patient relationship with any naturopathic doctor or clinic involved.
Workshops may include discussions about general wellbeing but are not a substitute for medical, psychological, or therapeutic care.
3. Capacity
The Retreat will host a maximum of 20 participants. Registration is first-come, first-served.
4. Payment, Pricing & Registration
Payments may be made in full or in 3 instalments.
All payment amounts and due dates are provided at checkout.
All payments must be completed before February 28, 2026 to attend the retreat.
If instalments are missed or declined, the Participant’s spot may be forfeited.
No refunds or credits are issued for partial payments.
Hosts may correct pricing or description errors without obligation to honor incorrect rates.
5. Refund, Transfer & Cancellation Policy
To preserve the integrity of the Retreat and due to fixed contractual obligations with the venue:
All sales are final.
No refunds.
No transfers to another participant.
No credits toward future services or events.
Participant-initiated cancellation for any reason—including illness, injury, scheduling conflicts, or personal circumstances—does not result in a refund or credit. We suggest you purchase cancellation insurance to protect investment.
6. What’s Included
Retreat registration includes:
Two nights accommodation
Friday dinner
Saturday breakfast, lunch, and dinner
Sunday breakfast and snacks
One yoga class
One guided outdoor walk
Workshops facilitated by Dr. Briana Botsford
One afternoon access to the Kananaskis Nordic Spa (general admission, no add-ons)
Retreat materials provided by the Hosts
7. What’s Not Included
Participants are responsible for:
Transportation to/from the Retreat
Parking fees or penalties
All beverages (alcoholic and non-alcoholic)
All hotel incidentals. All additional room charges (including minibar, room service, damages, spa add-ons, parking, and other in-room purchases) are the responsibility of the Participant and must be settled directly with the hotel.

Off-itinerary activities
Travel insurance (recommended)
Hosts are not responsible for lost, damaged, or stolen personal items.
8. Physical Activity Acknowledgement
The Retreat includes optional physical activities such as yoga, walking, and exposure to outdoor elements.
Participants confirm they are physically able to participate safely.
Participation is voluntary.
Participants assume all risks associated with movement, weather, terrain, spa use, and environmental exposure.
A separate Participation & Liability Waiver must be completed before arrival.
9. Spa Use & Hydrotherapy Risks
The Kananaskis Nordic Spa includes hot, cold, and contrast hydrotherapy environments.
Participants acknowledge the inherent risks including but not limited to:
slips, falls, fainting, dizziness
heat exposure
cold-water shock
dehydration
adverse reactions
Participants agree to follow all spa rules and assume full responsibility for their participation.
10. Dietary & Allergy Responsibility
Meals are provided through the hotel and/or retreat providers.
Participants are responsible for:
Disclosing allergies or dietary restrictions in advance
Managing their own food safety needs
Avoiding foods they are sensitive to
Hosts are not liable for allergic reactions or dietary impacts.
A Medical & Dietary Disclosure Form must be completed prior to the Retreat.
11. Personal Conduct
Participants agree to conduct themselves in a respectful and safe manner.
Hosts reserve the right to remove any participant—without refund—who:
jeopardizes safety
is disruptive
is intoxicated
violates hotel or spa rules
behaves disrespectfully toward other attendees
12. Confidentiality & Group Environment
Participants may share personal stories during workshops.
All attendees agree to maintain confidentiality and uphold a supportive environment.
Hosts cannot guarantee confidentiality between participants.
13. Photography & Media
Retreat activities may be photographed or filmed.
Participants will be given the option to consent or opt out via a Photography Consent Form prior to the Retreat.
Intentional photography of those who opt out will not occur.
14. Force Majeure
Hosts are not responsible for events beyond their control including:
natural disasters
illness outbreaks
extreme weather
venue closures
government restrictions
emergencies
transportation disruptions
If the Retreat proceeds as scheduled, no refunds or credits will be issued.
If the Hosts cancel the Retreat, the Participant will receive a full refund of retreat registration fees only.
Hosts are not responsible for travel, parking, or other non-retreat expenses.
15. Travel Insurance
Participants are strongly encouraged to obtain travel insurance covering:
trip cancellation
medical emergencies
weather disruptions
Insurance is the sole responsibility of the Participant.
16. Limitation of Liability
To the fullest extent permitted by Alberta law:
Participants agree the Hosts are not liable for injury, illness, property damage, emotional distress, or loss arising from:
participation in retreat activities
spa or hydrotherapy use
yoga, movement, or outdoor activities
food consumption
interactions with third-party providers
environmental conditions
transportation (including carpooling)
Participants assume all risks associated with attending the Retreat.
17. Governing Law & Dispute Resolution
This Agreement is governed by the laws of Alberta, Canada.
Any dispute shall first require good-faith negotiation, then mediation in Alberta before any court action may proceed.
Exclusive venue: the courts of Alberta.
18. Agreement
By completing registration, the Participant confirms that:
They have read and understood these Terms & Conditions
They agree to be bound by them
They understand this Agreement affects their legal rights
